About the Role
Healing Touch Home Care is a Nevada Medicaid Personal Care Services agency supporting clients in their homes with a team of about 200 caregivers. We're looking for an experienced Billing & Administrative Coordinator to own our billing, remittances, payroll support, and agency compliance paperwork, and to provide administrative support directly to our Administrator.
This is not an entry-level role.
You'll be the person the office relies on to get claims out, catch denials, keep payroll deductions accurate, and meet hard deadlines with Medicaid, managed care plans, and state agencies. Your first 30 days are a structured, paid training period in our Las Vegas office. You'll learn our payers and systems, including newly rebuilt tracking tools, before taking full ownership of the desk. After training, the role moves to a hybrid schedule.
This is a services billing role, not a coding role. Rates and units are set by each client's authorization, so ICD-10 or CPT coding experience isn't needed. What matters is knowing how to get claims paid through the Nevada Medicaid portal and our managed care plans.
What You'll Do
Billing and revenue
Submit claims through Sandata and track billed units against authorizations
Download and reconcile remittance advices from Nevada Medicaid and managed care plans, and work denials, adjustments, and retractions
Bill our family caregiver program manually through the Nevada Medicaid portal and review weekly service records
Prepare contracts and invoices for private-pay clients
Authorizations and client records
Monitor new and existing authorizations and eligibility
Review Sandata and payer portal reports daily and resolve errors
Activate new clients and support care plan updates
Maintain audit-ready client files
Payroll and caregiver administration
Review caregiver hours and payroll sheets each pay period
Enter deductions in ADP and answer caregiver payroll questions
Process wage garnishments, employment verifications, and separations
Manage NEST retirement enrollments, terminations, and contributions
Prepare responses and protests to Nevada DETR unemployment claims
Support caregiver credentialing and CPR scheduling
Licensing and contracts
Prepare the agency's business and operating license renewals and keep them on schedule
Research and assemble contract and credentialing packages when we join a new payer or program
Administrative support to the Administrator
Manage the Administrator's calendar, inbox, and follow-ups
Prepare correspondence, documents, and reports
Track open items and deadlines across departments and keep them moving
Handle confidential business matters with discretion
Serve as the go-to person for office staff on billing, payroll, and records questions
Required
4+ years of medical billing experience, including at least 2 years in home health or home care
Experience submitting claims directly through a state Medicaid provider portal, reading remittances, and working denials
At least 2 years of administrative support to a C-level executive
Strong Microsoft Office or Google Workspace skills
Proven ability to manage recurring deadlines across multiple systems
Discretion with confidential client and employee information
Able to work in our Las Vegas office during the 30-day training period, then on a hybrid schedule
Preferred
Nevada payroll experience, including deductions, garnishments, and DETR unemployment claims

Payer contracting, provider enrollment, or license renewal experience
